This is a private training session for those clients that we have drafted HIPAA Medical Privacy Policies and Procedures for one or more of their group health plans. 
 
One very important requirement of HIPAA Medical Privacy & Security rules is that those employees who are authorized to see protected health information (PHI) must be trained regarding their responsibilities and that training must be periodically refreshed.  At the request of many of our clients, we are offering a cost-effective group training session.  It is limited exclusively to clients for whom we previously prepared HIPAA policies and procedures.  This is a great way for you to have your training refreshed or for those on your staff who have not been trained to get up to speed.
 
The training session will be held at our Wichita office on February 21 from 2 pm to 4 pm. It will be led by Ruhe Rutter who practices extensively in this area.
 
The cost is $125 per attendee.  Additional participants from the same employer may attend for a registration fee of $100 each. Space will be limited. Please click here to sign up now and reserve your seat.
 
What to Expect: 

  • On the day of the training, you will need to bring your HIPAA Medical Privacy Policies and Procedures notebook which will be utilized extensively throughout the session;
  • We will help you make sure you have correctly completed and/or updated the worksheets and forms in the notebook;
  • Because of the small group setting, we hope attendees will benefit from the ability to easily ask questions and hear those questions and concerns expressed by others, e.g., regarding setting up safeguards, proper privacy notice distribution, what constitutes PHI, etc.

  
Possible Reasons to Take this Training: 

  • It has been a long time since you looked at all of this and you need a refresher;
  • You have had turnover in “authorized employees” since the last training session and they need initial training;
  • You changed TPAs since your last training and now receive PHI in a different form, with the result that you may need to update your documentation regarding safeguards;
  • You received our telephonic training when we first set up your plan and had good intentions to complete the documentation in the HIPAA notebook after the training, but still have not found the time … or energy;
  • You “inherited” your predecessor’s HIPAA Policy and Procedure notebook and want to understand it better;
  • Getting up to speed on HIPAA medical privacy was a New Year’s Resolution. 

As a reminder, all self-funded group health plans (e.g., medical, dental, health FSAs, etc.) are required to have HIPAA privacy policies and procedures in place, train their “authorized employees,” set up safeguards to protect PHI, have business associate agreements in place, and satisfy various other requirements mandated by HIPAA.  There is no hard and fast rule on how often you should receive HIPAA training; it is a function of many factors (e.g., size of the employer, etc.).  It is the responsibility of the privacy officer to use his/her discretion in determining whether or not a refresher training is needed at this time. 
 
In addition to satisfying the training requirement, keep in mind that the privacy officer also has a duty not only to establish and create policies and procedures, but to maintain and implement them.  By attending this small group training, the privacy officer may satisfy his/her duty to oversee on-going training and ensure the policies and procedures are being maintained and implemented.
